Why I Use Xero to Keep My Business Running Smoothly

Running a media business built around daily content, podcast interviews, and client work means I need tools that take care of the back end without slowing me down. I don't have time to chase invoices, deal with clunky spreadsheets, or sort out accounting software that feels like it was designed in 1998. That's why I use Xero.

It's the tool that keeps my financial admin in check so I can focus on what moves the needle by writing, interviewing, editing, and building conversations that matter.

Invoicing That Works Across Borders

Most of my clients are based in different time zones. Some are in London, others in New York or San Francisco. I needed a system that didn't make me jump through hoops every time I sent an invoice overseas.

I chose Xero because I can easily invoice anyone in the world with just a few clicks. Most importantly, clients can pay by bank transfer, credit card, or PayPal. There's no friction. I send the invoice, and they receive a clean, professional document with a built-in payment link. This allows me to track when it has been viewed and when it has been paid.

It eliminates awkward follow-ups and keeps everything organized and visible. I am aware of what is overdue, pending, and what has been paid. That visibility makes all the difference when you're managing cash flow and planning for future work.

Automation That Saves Time (and Sanity)

One of the first things I noticed with Xero was how much manual effort it quietly removed. It connects directly to my bank accounts, allowing me to reconcile transactions quickly. No copy-pasting. No uploading CSVs. I log in, approve the suggested matches, and that part of my day is done.

Recurring invoices are handled automatically. Tax returns align with HMRC's Making Tax Digital requirements. Xero's interface is simple enough that I can accomplish what I need without needing to Google jargon or ask my accountant to translate error messages.

The mobile app is also surprisingly practical. If I'm on the go and a new opportunity arises, I can issue a quote directly from my phone. When the job's done, it takes just a few taps to turn it into an invoice and send it off.

Keeps Me Ready for Growth

Over the years, my work has shifted from solo projects to bigger partnerships and recurring campaigns. Xero has scaled with me. I've synced new tools and worked with overseas clients without needing to switch platforms.

It also plays nicely with other tools. Whether I'm using Stripe, PayPal, or even time-tracking apps, the integrations are there. It quietly runs in the background every day, giving me the freedom to do the work I care about without worrying about what's happening behind the scenes.

If you're juggling clients, managing cash flow, and trying to keep on top of admin without burning out, it's worth a look.

If you've already found a system that works for you, I'd love to hear how you've set it up. Always happy to swap notes on how to run a lean, creative business that doesn't fall apart at tax time.
